Terms of Service
Last Updated: October 2026
These terms apply to every booking a travel agency or tour operator (“the Agent”) makes with SAS Global Reisen LLP (“SAS Global Reisen”, “we”) through this website, by email or by any other channel. By requesting a booking, the Agent accepts these terms on its own behalf and on behalf of every traveller in that booking. Where a package page or written confirmation states different terms, those specific terms apply to that booking.
I. Our Role
- B2B only: SAS Global Reisen is a Destination Management Company (DMC) working exclusively with travel agencies and tour operators. We do not contract with individual travellers. The Agent is our client and remains responsible to its own customers.
- Ground services: We arrange ground services in Europe, the UK and Scandinavia - accommodation, coaches, transfers, guides, tour managers, meals, sightseeing and entrance tickets - through our own teams and contracted third-party suppliers. Each supplier's own terms also apply to its service.
- Flights: International and domestic flights are not included unless the confirmation says so.
II. Quotations, Rates & Confirmation
- Booking requests: A booking request, quotation or “on request” status is not a confirmed booking. A booking is confirmed only when we issue a written confirmation and receive the deposit set out in Section III.
- Net rates: All rates are net rates for the Agent, quoted per person in EUR unless stated otherwise. The Agent sets its own selling price and must keep our net rates confidential.
- Validity: Quotations are valid for the period stated on them and are subject to availability at the time of confirmation.
- Price changes: Until full payment, prices may be revised for changes in exchange rates, fuel surcharges, government taxes (including city and tourist taxes), entrance fees or supplier rates. We will inform the Agent in writing before any revision.
- Group size: Group prices are based on the number of paying travellers stated in the quotation. If the final number is lower, we may revise the per-person price.
- Hotels: Hotels named “or similar” may be replaced by a property of the same or a higher category.
III. Payment Terms
- Deposit: 25% of the total booking value is payable within 7 days of our confirmation. Space is not guaranteed until the deposit is received.
- Balance: The balance is payable no later than 45 days before the tour start date. For bookings made within 45 days of departure, 100% is payable at confirmation.
- Non-refundable services: Rail and ferry tickets, event and exhibition-period hotels, special attractions and any service a supplier requires to be paid in full at booking are invoiced and payable in full when booked, as stated in our confirmation.
- Currency & method: Payments are made by bank transfer in the currency of our invoice. All bank and transfer charges are borne by the Agent; we must receive the full invoiced amount.
- Taxes: GST, TCS and any other taxes applicable under Indian law are charged in addition, as shown on the invoice.
- Late payment: If payment is not received by its due date, we may treat the booking as cancelled by the Agent and apply the cancellation charges in Section IV. Services are released only once the booking is paid in full.
IV. Cancellations by the Agent
Cancellations must be made in writing by email and take effect on the day we receive them. The following charges apply, calculated on the total booking value per traveller cancelled:
- 60 days or more before the tour start date: the deposit is retained.
- 59 to 45 days before: 50% of the booking value.
- 44 to 30 days before: 75% of the booking value.
- 29 days or less, or no-show: 100% of the booking value.
- Non-refundable services: Any service already issued as non-refundable (Section III) is charged in full, whenever the booking is cancelled.
- Peak periods: Peak periods, trade fairs, festivals, New Year and other special events may carry stricter supplier conditions; these will be stated in the quotation and confirmation.
- Visa refusal: Visa refusal is treated as a cancellation by the Agent. The charges above apply, reduced by any amounts we are able to recover from suppliers on presentation of the refusal letter.
- Unused services: Services not used once the tour has started - for example missed sightseeing or an early departure - are not refundable.
- Refunds: Refunds due are paid to the Agent by bank transfer within 30 days, less non-recoverable bank charges.
V. Amendments
- Name changes and reductions: Name changes, date changes and reductions in group size are subject to availability and to supplier charges. A reduction in numbers is treated as a cancellation for the travellers removed.
- Late date changes: A change of travel dates within 30 days of departure is treated as a cancellation and a new booking.
VI. Changes & Cancellations by SAS Global Reisen
- Operational changes: We may change the itinerary, the order of sightseeing or the hotels (to the same or a higher category) for operational, safety or weather reasons, and will inform the Agent as early as possible.
- Cancellation by us: If we have to cancel a confirmed booking for reasons within our control, we refund all payments received for that booking in full.
- Minimum numbers: Fixed-departure group tours may require a minimum number of travellers. If the minimum is not reached, we may cancel the departure no later than 30 days before the start date and offer an alternative date or a full refund.
VII. Travel Documents, Visas & Insurance
- Accuracy: The Agent must ensure that all traveller names and details sent to us match their passports exactly. Costs caused by incorrect details are charged to the Agent.
- Passports & visas: Valid passports, visas and compliance with health and entry requirements are the responsibility of the Agent and the travellers. Visa information on this website is general guidance; the consulates decide. On request we provide booking confirmations and supporting documents for visa applications.
- Insurance: Every traveller must hold travel insurance covering medical expenses, repatriation and cancellation for the full tour. For Schengen visas this must include medical cover of at least EUR 30,000.
VIII. On Tour & Complaints
- Conduct: Travellers must follow the reasonable instructions of the tour manager, guides and drivers, and the rules of hotels and transport providers. Any damage caused by a traveller is the traveller's responsibility.
- Problems on tour: Any problem with a service must be reported immediately to the tour manager or our emergency contact, so that we can resolve it on the spot.
- Complaints: Complaints not resolved during the tour must be sent by the Agent in writing within 14 days of the tour end date. Complaints not reported during the tour may not be considered.
IX. Limitation of Liability
- Force majeure: We are not liable for loss, delay or extra cost caused by events beyond our control, including strikes, weather, natural disasters, pandemics, political unrest, government action, and flight, rail or ferry delays and cancellations. Any additional costs arising from such events are payable by the Agent.
- Third-party suppliers: We are not liable for the acts or omissions of third-party suppliers beyond exercising reasonable care in selecting them.
- Maximum liability: Our total liability for any booking is limited to the amount the Agent paid us for the service concerned.
X. Data Protection
The Agent confirms that it has the travellers' consent to share their personal data with us. We use that data only to deliver the booked services, which includes sharing it with hotels, transport providers and other suppliers, and we handle it in line with applicable data protection laws.
XI. Governing Law
These terms are governed by the laws of India. Any dispute is subject to the exclusive jurisdiction of the courts of Mumbai.
